The short answer

A South African police clearance certificate is issued by the South African Police Service Criminal Record Centre, not by Home Affairs. Apply in person at a police station that offers the service, taking your identity document and having your fingerprints taken on the prescribed form. The certificate confirms whether you have a criminal record. Processing takes weeks and the certificate has a validity period that foreign authorities set, so apply in step with the deadline that requires it.

A police clearance certificate is often confused with a Home Affairs document because it is usually needed alongside a passport or visa application. It is not: it is issued by the South African Police Service, based on a fingerprint search of the criminal record system.

What it is, and what it is not

It is a statement of what the SAPS criminal record system holds against your fingerprints at the time of the search.

It is not a certificate of good character, a guarantee about anything outside the SAPS record, and it is not issued by Home Affairs.

Different countries ask for it for different purposes - a work visa, a residence application, employment in a foreign police or security service, some adoptions - and each one specifies its own validity period.

Where and how to apply

Apply at a police station that offers the service, or through the Criminal Record Centre channels SAPS publishes. The application requires:

  • your identity document,
  • fingerprints taken on the prescribed form for this application,
  • payment of the prescribed fee.

Some stations do not offer the service at all, so confirm before travelling. Courier and documentation services will lodge an application for a fee, which is legitimate as a convenience but does not change the process and does not make it faster.

Timing and validity

FactorWhat applies
Processing timeWeeks - this is a fingerprint search, not a form
ValiditySet by the requesting authority, commonly three or six months
Re-applicationA new application, with new fingerprints, if the old one expires

Because validity is set by the recipient, a certificate obtained “in good time” can be too old by the time it is needed. Where two requirements overlap, ask each authority what it accepts.

If your record is not clean

The certificate reports what the system holds. Where a matter was withdrawn, an acquittal was recorded, or a conviction is old, the position depends on what is reflected - and a foreign authority may apply its own rules to whatever appears.

Two practical points:

  • Know what your record shows before a third party sees it. If there is something to explain, prepare the explanation with the documents that support it.
  • Do not try to have a record “cleaned”. Expungement of a criminal record is a defined legal process. Anyone offering to remove a record for a fee outside that process is defrauding you.

Where it fits with your other documents

The certificate is usually one item in a pack that also includes a passport, sometimes an unabridged birth certificate and, for foreign destinations, a visa. The visas guide covers South African entry requirements; requirements for the country you are travelling to are set by that country’s mission and should be confirmed there rather than from any summary.

Frequently asked questions

Where do I get a police clearance certificate in South Africa?Toggle answer

At a South African Police Service police station that offers the service, or through the Criminal Record Centre channels SAPS publishes. It is a SAPS document - Home Affairs does not issue it, and no private company issues it either, although some courier and documentation services will lodge the application on your behalf for a fee.

How long does a police clearance certificate take?Toggle answer

Weeks rather than days. The certificate requires a fingerprint search against the criminal record system, so processing time depends on the volume at the Criminal Record Centre. Apply as soon as you know you will need it, and not the week before a visa appointment.

How long is a police clearance certificate valid?Toggle answer

The certificate itself has no fixed expiry printed by SAPS, but the authority that asked for it sets its own validity period - commonly three or six months for visa and immigration purposes. That means a certificate obtained too early can expire before you use it, which is why you should work to the requirement you are satisfying.

Will a previous arrest show up even if I was never convicted?Toggle answer

The clearance certificate reports criminal records as recorded on the system. Where a matter was withdrawn or a person was acquitted, the position depends on what the system reflects. If you are unsure what your record shows, deal with it before you apply rather than being surprised by a certificate you then have to explain.

Do I need to give my fingerprints again?Toggle answer

Yes. The certificate is based on a fingerprint search, and the prints must be taken for this application on the prescribed form. Prints taken for a Smart ID card application are not used for this purpose - the two processes are separate systems.

Can an agent apply for my police clearance certificate?Toggle answer

Some documentation services lodge applications on a client\u2019s behalf and charge for the convenience. That is not the same as issuing a certificate, and no private party can do that. If you use such a service, you still have to attend in person for the fingerprints in most cases, so check exactly what you are paying for.
